Who we are

This privacy policy applies to CALMS sites and web application. CALMS operates under domains and subdomains of calms.com.

CALMS d.o.o. Europe and CALMS Air Inc. is committed to protecting your privacy and ensuring transparency in how we handle data. This Privacy Policy outlines the types of information we collect, how it is used, and your rights regarding that information.

What personal data we collect and why we collect it

CALMS collects and processes only the following types of data:

  • Public Company Information: Such as company name, industry, location, and publicly available performance data.
  • Company Employee Information: Including employee names, roles, business email addresses, and work-related activity within the CALMS platform.
  • System Measurement Data (IIoT):
    We collect real-time and historical data from connected IIoT devices, including but not limited to pressure, flow rate, temperature, power consumption, and compressor/ energy equipment status. This data is essential for system monitoring, analysis, and optimization. When used for benchmarking or performance insights, this data is strictly anonymized and aggregated for statistical purposes only.

We do not collect or store any personal data unrelated to business functions, such as personal contact details, financial information, or sensitive personal identifiers.

Contact form

When you use the contact form, you send us provided information we use to contact you back. By submitting a form, you also accept our privacy policy. We have to store your consent by law.

Media

If you upload images to the website or application, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors with access to the media can download and extract any location data from images on the website.

Phone number

Registered users can optionally provide us their phone number. This info is used to send you SMS alarms and notifications according to your notification preferences directly to your mobile phone.

Email

Email is used as the main notification and communication channel. You can provide email using contact form or by your partner at registration.

Name

At the registration, you also provide us your name and surname. We use this data, so your colleagues are able to find and recognize your account in application. We also use names to hide your email addresses.

Application preferences

There are a lot of smaller preferences (like unit selection, notification preferences, channel selection, your systems, your companies, …) in the application that could together potentially reveal your identity.

Cookies and local storage

If you accept or reject tracking, we will store your choice with no personal data in a local storage. If tracking is accepted, cookies described are installed.

When you log in, we will also set up several cookies to save your login information and your screen display choices. If you log out of your account, the login cookies will be removed.

We also use some local caching using your local storage to speed loading of our application.

Except for essential cookies, all cookies will expire after maximum 2 years.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Analytics and tracking

If you accept tracking, we will install Google Analytics tracking solutions in your browser to track your experience. You can check their terms and privacy policy: Google Analytics. You have to confirm or reject tracking in every subdomain before we will actually use it.

How and Why We Use Your Information

The data collected is used strictly for the following purposes:

  • To provide and improve CALMS monitoring, control, analysis, and maintenance management services for energy management.
  • To generate performance insights and system optimization recommendations.
  • To ensure secure access to the CALMS platform and maintain user accounts.
  • To communicate important updates or maintenance notifications related to the CALMS system.
  • To enable system benchmarking against best-in-class isentropic efficiency and other key performance indicators (KPIs), all data is strictly anonymized and used solely for statistical analysis.
  • We run AI models for system improvements and customer support on our own infrastructure to ensure customer data stays within our secure environment and is never accessible to third parties by design. Who we share your data with

We share your Information only with selected third parties, including:

  • Other users who will see your profile information and any other information you choose to share with them through the Services, including the systems, projects or other user-generated content you may share with other users, for example, in a shared system with external expert.
  • Vendors and service providers we rely on for the provision of the Services, for example:
    • Cloud service providers who we rely on for data storage, including Amazon Web Services which are based in the U.S.and Europe AWS public cloud (their privacy policy) and Google Cloud https://www.google.com/policies/privacy/partners/.
    • Customer support solution providers, who help us manage and respond to our customer questions and complaints and triage issues.
    • AI Service Providers. We may disclose information we receive to vendors that provide artificial intelligence services that provide backend support for our Services.
    • Analytics providers. We work with a number of analytics, segmentation and mobile measurement service providers who help us understand our user base. This includes Google LLC, which is based in the U.S. You can learn about Google’s practices by going to https://www.google.com/policies/privacy/partners/, and opt-out of them by downloading the Google Analytics opt-out browser add-on, available at https://tools.google.com/dlpage/gaoptout.
    • Third-Party Service Integrations. When you connect third-party apps to the Apps, you authorize us to share designated Information and data created and/or uploaded by you to our server with these third-party services of your choice on your behalf via open API
    • Communications platform providers, who help us manage and send newsletters to you in relation to the Services. This includes PipeDrive and MailChimp, which are based in the U.S.
    • Payment processors, such as Stripe. This payment processor is responsible for the processing of your Information, and may use your Information for their own purposes in accordance with their privacy policies. More information is available at https://stripe.com/gb/privacy for Stripe. This is used in online shop under shop.calms.com.
  • Law enforcement agencies, public authorities or other judicial bodies and organisations. We disclose Information if we are legally required to do so, or if we have a good faith belief that such use is reasonably necessary to comply with a legal obligation, process or request; enforce our terms of service and other agreements, policies, and standards, including investigation of any potential violation thereof; detect, prevent or otherwise address security, fraud or technical issues; or protect the rights, property or safety of us, our users, a third party or the public as required or permitted by law (including exchanging information with other companies and organisations for the purposes of fraud protection).
  • Change of corporate ownership. If we are involved in a merger, acquisition, bankruptcy, reorganisation, partnership, asset sale or other transaction, we may disclose your Information as part of that transaction.
  • With your consent. We may also disclose your information with your permission.

Third Parties

Third parties can be profesional experts or comapany taking care for your CALMS systems, like compressor or energy utility service provider. We are not responsible for how third-party services may collect, use or share your Information you send from the CALMS. Please review the privacy policy of such third-party partners before connecting those services to the CALMS.

How long we retain your data

We retain data only for as long as necessary to fulfill the purposes stated in this policy or as required by applicable law. Upon termination of a business relationship, data may be deleted or anonymized based on the client’s request.

For users that register on our website (if any), we also store the company personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators and partners can also see and edit that information.

 

What rights you have over your data

If you have an account on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you by contacting info@calms.com. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data

We make reasonable efforts to protect your information by using physical and electronic safeguards designed to improve the security of the information we maintain. However, as no electronic transmission or storage of information can be entirely secure, we can make no guarantees as to the security or privacy of your information.
